Summary
The full-time Administrative Assistant for AGS provides administrative support for School of Adult and Graduate Studies (AGS) administrators and campuses. Duties include providing administrative support for the Vice President of AGS and the Associate Dean for AGS, creating and updating reports, facilitating faculty recruitment, and hiring, faculty course scheduling, contract processing and payroll and general support of Academic Affairs processes.
Job Description
- Provides administrative support to the VP of AGS and the Associate Dean for AGS
- Perform a variety of general clerical support tasks, including but not limited to data entry of student information, word processing, establishing procedures, collating information, scanning, faxing, printing, filing, and sorting of mail, and issuing building and office keys
- Greets guests, answer telephone calls, and direct calls to the appropriate staff as necessary
- Facilitates the faculty recruitment and hiring processes for the School of Adult and Graduate Studies
- Coordinates and schedules full-time and adjunct faculty members to teach AGS courses each term
- Coordinates course creation and contract needs; Processes completed Course Design and Instructional Design contracts to payroll for payment
- Manages the curriculum review calendar for the School of Adult and Graduate Studies
- Tracks full-time faculty load completion toward required contract hours and overload hours
- Processes course contracts and confirmation of course compensations for all AGS courses
- Ensures that all adjunct faculty complete the required annual forms, including the faculty handbook receipt and acknowledgment
- Serves as the primary AGS point of contact for textbook publishers and the Montreat Bookstore and coordinates textbook changes with the Montreat Bookstore Manager
- Completes reports as requested by program and college leadership
- Assists with AGS campus special events and workshops
- Serves on college committee(s) as needed
- Files and processes faculty and staff information
- Takes meeting minutes at faculty and staff meetings
- Fulfills other duties assigned

The ideal candidate will have experience working in an office environment where data integrity, technology applications, and customer service are top priority. Qualifications and expectations will include, but are not limited to the following:
- A high level of organization and ability to prioritize and multitask
- Strong written and verbal communication, interpersonal, and analytic skills
- Strong attention to details and ability to work independently while managing time within project schedules
- Ability to handle multiple projects with varying priorities simultaneously and with enthusiasm
- Ability to work cross-functionally and determine appropriate levels of communication across departments, including with college administration
- Ability to maintain a flexible schedule, working some evenings and weekends
- Proficient with Microsoft Office programs (Word, Excel, Outlook), technology, and Internet usage
- General lifting of up to 25 lbs. may be required
Education/Experience
Bachelor’s degree from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
