Assistant to V.P. of Finance and Administration  

POSITION:
Assistant to the Vice President of Finance and Administration

BASIC FUNCTION:

The successful candidate will report to the College's Vice President of Finance and Administration and be responsible for the day-to-day management of the finance office and all cash receipts for the college in compliance with the Montreat College cash management guidelines.

ESSENTIAL FUNCTIONS:

  • Customer service that includes all professional responsibilities associated with the finance office, including front office, phone coverage, and data processing executed as efficiently as possible.
  • Assist the Vice President, Controller and Direct of HR in preparation for all appointments, meetings, and other responsibilities including maintaining his/her calendar.
  • Prepare and maintain all finance office files and other reports as requested.
  • Create, maintain and post all finance and administration events on the Campus and internal Calendar.
  • Schedule conference rooms for meetings.
  • Back up for bookstore/document center.
  • Prepare journal entries to reallocate all monthly departmental charges.
  • Receipt and file all checks/cash received by the college and input batches into Great Plains and PowerCampus.
  • Process credit card transactions, reconcile and post daily.
  • Provide department heads and budget supervisors with information as requested.
  • Run updated FRx reports each Friday before COB.
  • Record Annuity information and create distribution reports.
  • Open and lock the safe each day at morning and COB respectively.
  • Help total timesheets for payroll.
  • Attend and prepare minutes for Finance and Administration meetings.
  • Set-up all Finance and Administration meetings.
  • Assist the Manager of Payroll and Benefits with organizing All Employee and other meetings throughout the year.
  • Help HR/Payroll with maintaining contract, evaluation, credential, and other information files for staff/administration positions.
  • Maintain and update the information on the new Finance and Administration web page.
  • Prepare letters and memos for the signature of the Vice President.
  • Attend and prepare minutes of the Board of Trustees and other VP Committee meetings.
  • Monitor the office budget.
  • Other duties as assigned.
