Position Description:
Administrative Assistant to the Vice President and Dean of Academics
Qualifications:
- The Administrative Assistant should possess excellent office and interpersonal skills.
- Be self-directed, innovative, detail-oriented, and able to keep confidences.
- This position requires demonstration of an active Christian faith in personal example and in work-related responsibilities.
- Proficiency in personal computer word processing, spreadsheet, and database applications is required.
- Normally, a bachelor’s degree and fifty-five words per minute keyboard speed are required.
- Limited office supervision experience is preferred.
Responsibilities: The responsibilities of the Administrative Assistant include:
- Assist the Vice President and Dean of Academics in preparation for all appointments, meetings, conferences, and other responsibilities including maintaining his/her calendar.
- Submit and record appropriate Business Office forms for Vice President’s and faculty’s expenses.
- Prepare and maintain faculty and committee rosters, personnel files, and other statistical and financial reports.
- Post events on the Academic Calendar and Administrative Calendar.
- Keep the reservation schedule of the Belk Conference Room.
- Monitoring the submission and electronic filing of all syllabi and final exams for each semester.
- Attend and prepare minutes for faculty meetings and meetings of the Executive Committee.
- Set-up all faculty meetings.
- Supervise the process of student evaluation of courses and other faculty evaluations.
- Coordinate some organizational details regarding the December and May Commencements, the fall and spring Opening Convocations, and Honors Convocation. Responsible for producing the program for each of these events.
- Prepare, mail, and record responses for each semester regarding the Student Exit Survey.
- Organize the Executive Committee Retreat, Faculty Workshop, and New Faculty Workshop.
- Update the Faculty Handbook annually.
- Prepare the academic section of the College Catalog annually.
- Assist in faculty recruitment and the orienting of new faculty.
- Prepare a weekly informational communiqué, Academic Update, for all faculty members.
- Maintain contract, evaluation, credential, and tenure/promotion (if applicable) files for faculty, in paper version and in the Power Campus databases.
- Keep the information on the Vice President’s web page updated.
- Prepare adjunct salary agreements and instructional information each semester.
- Prepare letters and memos for the signature of the Vice President and Dean of Academics.
- Attend and prepare minutes of the Board of Trustees Audit Committee meeting.
- Other duties as assigned.
